What data we process, why, for how long, and what you can require of us.

This page describes the processing of personal data carried out by Natura Mater on the naturamater.eu website, within the meaning of Regulation (EU) 2016/679 (GDPR) and the Belgian Act of 30 July 2018. This English version is provided for convenience; the French version is the only binding text.

The data processed

Natura Mater processes the data you send to it, the data generated by your browsing, and the data it receives in the course of a business relationship or from a publicly available source, in particular a professional one.

  • Contact request: name, email address, organisation and content of the message.
  • Monthly newsletter: email address.
  • Ongoing service: correspondence, documents sent and billing data.
  • Registration for a training course: name, email address, organisation and billing data.
  • Browsing: see the cookie policy.

Optional fields are marked as such in the forms. No sensitive data within the meaning of Article 9 of the GDPR is requested.

Purposes and legal bases

RespondingHandling a request sent via the form or by email. Legal basis: steps taken prior to entering into a contract, and legitimate interest in responding to an enquiry.
PerformingCarrying out a service that has been ordered and following it up. Legal basis: performance of a contract.
InformingSending The Sustainable Building Journal. Legal basis: consent, which may be withdrawn at any time.
InvoicingDrawing up and keeping accounting records. Legal basis: legal obligation.
Sector updatesSending a professional communication to a contact identified in the course of their business. Legal basis: legitimate interest, with a right to object that can be exercised at any time.
MeasuringUnderstanding how the site is visited. Legal basis: consent.

Submitting a project document

Some services require a bill of quantities, a specification or a drawing to be sent. These documents are processed to produce the deliverable ordered and are kept for the duration of the assignment.

They are not passed on to any third party under any circumstances. Natura Mater communicates only about its own analyses and observations, never about the documents its clients entrust to it.

Recipients and transfers

Your data is neither sold nor passed on to third parties. It is accessible to the Natura Mater team and to the service providers needed to run the site and follow up requests, which act as processors and are bound by contract.

Some of these providers are established outside the European Union; Brevo and Mollie are not among them. Transfers rely on the EU-US Data Privacy Framework or on the European Commission's standard contractual clauses.

Retention periods

Natura Mater does not keep your data longer than its legal and contractual obligations require. The period runs from the end of the relationship.

General ruleTen years at most from the end of the relationship, as required by the tax limitation period and professional liability.
AccountingSeven years, the statutory period in Belgium.
Unpursued enquiryThree years from the last exchange, where no relationship has been established.
Project documentsThe duration of the assignment, followed by its archiving.
Monthly newsletterUntil consent is withdrawn.

Security

The site is static: it exposes neither a publicly accessible administration interface nor a database. Exchanges between your browser and the site are encrypted.

Access to data is limited to the people who need it to handle your request. In the event of a personal data breach likely to result in a high risk to your rights, you will be informed in accordance with Article 34 of the GDPR.

Your rights

You have the right of access, rectification, erasure, restriction and objection, the right to data portability, and the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out before its withdrawal.

These rights are exercised by email to hello@naturamater.eu. You will receive a reply within one month. Proof of identity may be requested where there is reasonable doubt about the identity of the person making the request.
